The last possible cancellation date will be May 10th 2025, you will receive a full refund (excluding the deposit)
All travelers require an up-to-date passport with at least 6 months remaining before the expiry date.
Travel insurance is compulsory and we will be checking with you once payments are made in full that you have travel insurance that will be adequate for the event.
TERMS & CONDITIONS AND WAIVER
- I understand that I should not compete in this event unless I have trained and prepared appropriately for it. My physical condition has been verified by a medical practitioner or I confidently believe that I am sufficiently fit and healthy to compete in this event and that I am able to tread water in a fatigued state for at least two (2) minutes.
- I acknowledge that ocean swimming involves the real risk of serious injury or even death from various causes including overexertion, equipment failure, falling debris, contact with structures, dehydration and/or accidents with other competitors.
- By competing, I accept all risks necessarily flowing from my participation which could result in loss of life or permanent injury. Accordingly, I release all persons or corporations associated directly or indirectly with the conduct of the event from all claims, demands and proceedings arising out of my participation and I hereby indemnify them against all liability (including liability for their negligence and the negligence of others) for all injury, loss or damage arising out of or connected with my participation in this event. This release shall extend to and include The Event Crew Limited and their respective directors, partners, managers, officers, agents, contractors, employees and volunteers including medical and paramedical personnel appointed for the event, the owners, licensees and occupiers of land upon which the event or any part of it is conducted, any statutory body or local authority having control over any land upon which the event or any part of it is conducted or which is involved directly or indirectly with the event in any manner whatsoever and promoters, sponsors and event organisers. This release and indemnity continues forever and binds my heirs, executors, personal representative and assigns.
- I accept that it is my responsibility to contact the event organisers should any information on my entry form need to be updated e.g. emergency contact details.
- I understand that if I am entering a swim distance of 2km or over for the first time it is the recommendation of the New Zealand Ocean Swim Series organisers that I complete a swim distance of 1.25km or under before undertaking the longer swim.
- I acknowledge that the event organisers will endeavour to provide a true and accurate course distance but the distance may vary due to tidal flows and ocean conditions.
- I consent to receiving any medical treatment that the event organisers think is necessary during or after the event.
- I consent to the event organisers using my name, image and likeness before, during or after the event for event promotional purposes in any marketing media, social media, official sponsor campaigns and for broadcasting or reporting purposes in any media.
- I consent to Event Crew Limited providing my personal details to a professional photography company if they are contracted by Event Crew Limited to take professional photographs of participants at the Event. The contracted company may contact me via email to alert me when photos from the Event are available to purchase via their website.
- I understand that safety precautions undertaken by organisers (such as course supervision, event safety briefing) are a service to me and other competitors but are not a guarantee of safety.
- I accept that I have an important responsibility to listen to all pre-event safety briefings and to immediately seek clarification from an event official on anything which is not entirely clear to me.
- I am fully responsible for the security of my personal possessions at the event.
- I agree to abide by all event rules and directions issued by the event organiser. These are listed on the below the terms and conditions.
- I will wear the event timing chip as directed by the event organisers, if applicable. I must return the timing chip after the event (whether I participate or not) otherwise I will be charged by the event organisers, and I agree to pay $30 NZD for its non-return.
- I agree to my name and contact details being included on the Event Crew Limited event and email database. Event specific email communications and messages from event partners will be sent to me. I have the ability to unsubscribe from this at any time.
- I acknowledge that by reason of circumstances beyond the control of the event organisers, it may become necessary or desirable to change the format of the event, and if that occurs, I consent to the changes and I agree that each and every one of the conditions herein set out shall apply to that changed event.
- Due to the committed outgoing costs, if the event is cancelled due to any ‘act of God or nature’, strike, lockout, fire, flood, storm, explosion, revolution, riot, act of war, earthquake, landslide, (pan) epidemic, national day of mourning or any other act or event that is beyond our reasonable and foreseeable control, I understand that my entry fee will not be refunded.
- The $750 deposit is non-refundable and will be used to book and hold accommodation and flights. These are also non-refundable from the suppliers so we will not be able to refund this at any point for any reason.
Safety Guidelines
- Swimmers are responsible for their own physical condition and are urged to train appropriately for the event (be able to swim the full distance and have open water swimming experience) and have a medical check prior to entry if required.
- It is important to note that, while every effort will be made to ensure a safe and fun event, organisers and crew are unable to guarantee swimmer safety.
- Swimmers with lower confidence are encouraged to request a different coloured ‘nervous swimmer cap’ at the safety briefing for easy identification and support.
- Our Lifeguards and safety team will be patrolling the course for the duration of your event.
- Medical staff will be on-site with staff and resources at all events.
- A swimmer deemed incapable of completing the course in a satisfactory condition will be brought to shore by lifeguards.
- While in the water, all swimmers must comply with the directions of lifeguards, the Harbour Master or Coastguard.
- If assistance is required during the swim, swimmers are required to raise one arm so water safety personnel can assist. If this is not possible, the swimmer should roll onto their back to float in a relaxed position and try to alert a lifeguard.
- In the event of witnessing an injury/accident/medical incident during the swim, report this to one of the lifeguards on the water or on land as soon as possible.
- In the event of a withdraw, please alert a clearly marked event official.
- All swimmers should be vigilant when swimming around buoys and passing other swimmers.
- All swimmers should think about post-race hydration – we recommend you bring some fluids to hydrate with after your swim.
Event Rules
- All swimmers must be present at the appropriate safety briefing.
- Swimmers must use a tow float and carry a water whistle. Reef shoes are to be warn to enter the water.
- Swimmers must start the swim within the designated area and in the start wave allocated to them.
- Swimmers must swim the course as instructed in the safety-briefing. Failure to do this will result in disqualification.
- Each swimmer must wear the cap provided in the swim pack. If more than one swim cap is being worn, the event cap must be worn on the outside.
- You may wear any fins, wetsuit or buoyancy shorts
- No swimmer may use alcohol or any illegal, detrimental or dangerous drugs, stimulants, depressants or other substances with the intent to improve their performance, eliminate the sense of fatigue or for any other purpose.
- Swimmers shall be allowed to use grease or other such substances providing these are not, in the opinion of the Event Director or Event Manager, excessive
- Lifeguards, the Event Director and Event Manager shall have ULTIMATE authority to remove a competitor from the swim if the competitor is judged to be physically incapable of continuing the swim without risk of serious injury or death.
- No outside assistance is allowed except from technical officials or our own lifeguards.
- Purposely obstructing or impeding the progress of other swimmers in the field is prohibited. Doing so will result in disqualification.
- Good sportsmanship is expected of all swimmers. Fraud, theft and acts of grossly unsportsmanlike conduct are grounds for disqualification. The determination of whether an act is deemed unsportsmanlike is at the sole discretion of the Event Director.
- Swimmers are expected to heed directions and instructions of all event officials and public authorities.
- In the interest of safety for all our swimmers and staff; all swimmers will follow, and abide by, the instructions and mandates from the Ministry of Health.
The Event Director’s decision is final.
